ProbeLogic Pty Ltd (“ProbeLogic”, “we”, “us” or “our”) respects your privacy. This policy explains how we collect, use, disclose and protect personal information when you use our website at probelogic.com.au, contact us, or use our services. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. What personal information we collect
The personal information we collect depends on how you deal with us. It may include:
- Contact details – your name, email address, phone number, company or organisation name and department.
- Pick-up and delivery details – addresses and package details you give us when you ask us to collect or return equipment.
- Enquiry details – the content of messages, product enquiries and any files or photos you upload (for example, images of a faulty probe).
- Technical information – your IP address, browser and device type, pages visited, and the date and time of your visit, collected automatically through cookies and similar technologies (see section 6).
We do not ask for, and ask you not to send us, sensitive information such as health information about patients. See section 5 for information about equipment you send to us.
2. How we collect personal information
We collect personal information directly from you when you:
- complete a form on our website (such as our contact form, the “Organise to collect my probe” form or a product enquiry);
- email or phone us, or deal with us in person;
- request a quote, repair, replacement or other service; or
- subscribe to receive updates from us.
We also collect technical information automatically when you visit our website. You can visit our website without telling us who you are, but if you choose not to give us certain information we may not be able to respond to your enquiry or provide our services.
3. Why we collect and use personal information
We collect and use personal information to:
- respond to your enquiries and provide quotes;
- arrange the collection, repair, testing, servicing and return of your equipment;
- communicate with you about your equipment, orders and our services;
- send you updates you have asked to receive;
- operate, secure and improve our website, including protecting it against spam and misuse;
- understand how visitors use our website and measure the effectiveness of our advertising; and
- comply with our legal obligations.
4. Who we disclose personal information to
We do not sell your personal information. We may disclose it to:
- Courier and freight providers – so they can pick up and deliver your equipment. Please also see our Courier Service Disclaimer.
- Service providers who help us run our business and website – including website hosting, email delivery (Mailgun), website security and spam protection (Cloudflare, including Cloudflare Turnstile, and Wordfence), and analytics and advertising (Google and Meta/Facebook).
- Our professional advisers, such as accountants, lawyers and insurers, where reasonably necessary.
- Government authorities or others where required or authorised by law.
We require our service providers to handle personal information only for the purposes for which we provide it.
Overseas disclosure
Some of our service providers (including Google, Meta, Cloudflare and Mailgun) may store or process information outside Australia, including in the United States and other countries where they or their subcontractors operate. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled in a way that is consistent with the Australian Privacy Principles.
ProbeLogic also works with international partner laboratories. If you contact one of those partners directly, their own privacy policies will apply to the information you give them.
5. Equipment you send to us
Ultrasound probes do not usually store patient data. However, some equipment we service may contain stored images or patient information. Before sending equipment to us, please remove or de-identify any patient information where possible. If we come across personal information on equipment while servicing it, we will treat it as confidential, will not use it for any other purpose, and will not disclose it except where required by law.
6. Cookies, analytics and advertising
Our website uses cookies – small files stored on your device – and similar technologies. We use:
- Necessary cookies – required for the website to work, including remembering your cookie choices and protecting our forms from spam.
- Analytics cookies – we use Google Tag Manager and Google Analytics to understand how visitors use our website so we can improve it.
- Advertising cookies – we use the Meta (Facebook) Pixel to measure the effectiveness of our advertising and to show relevant ads to people who have visited our website.
When you first visit our website, a cookie banner lets you accept all cookies or choose which types you allow. We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These include encrypted (HTTPS) connections to our website, access controls, firewall and security monitoring, and spam protection on our forms. We keep personal information only for as long as we need it for the purposes described in this policy or as required by law, and then securely destroy or de-identify it.
No method of transmitting or storing information is completely secure. If we become aware of a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
9. Accessing and correcting your personal information
You can ask to access the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date, incomplete or misleading. Please contact us using the details below. We will respond within a reasonable time, usually within 30 days. We may need to verify your identity first, and in limited circumstances permitted by law we may decline a request – if so, we will tell you why.
